PMH Property Management Ltd (“we”, “us”, “our”) acts as a data controller in respect of your personal data. In many cases, the freeholder or management company that has appointed us to manage the relevant building or property (“Appointer”) will also act as a data controller in respect of your personal data.

This notice explains how we use your personal data in connection with the property management services we provide at the property or development (the “Property”).
Please read this notice carefully and keep a copy for your records.
We may collect and hold the following personal data about you: your name, address, email address, phone number, bank details, vehicle registration, images of you captured on CCTV (if installed at the Property) and records of any correspondence and telephone calls we have had with you in respect of the Property/our management. We may receive this from the Appointer (or a party authorised to act on their behalf) or directly from you. To help us keep your data accurate, please let us know if there are any changes to your personal data.
We use your personal data where required to perform our contract with you, comply with legal obligations, or support our legitimate interests. This includes managing the Property, processing payments, coordinating repairs and contractor visits, maintaining site security and access control systems, communicating with you about management matters, keeping statutory records, and handling correspondence, complaints, and service requests. We may also use anonymised correspondence or call records internally to enhance our services or assist with legal matters where necessary.
We may send you updates or service information by email or post if you have opted in or if you already receive our services and we have a legitimate interest in keeping you informed. You can withdraw consent or object to marketing at any time by contacting us or using the unsubscribe link in our emails. Please note that if you object to essential processing required for management services, we may be unable to continue providing those services and will need to notify the Appointer.
We may share your personal data with trusted third parties where necessary, including approved contractors, IT and software providers, cloud and email platforms, credit reference agencies, insurers, professional advisers, and the freeholder, landlord, or management company. We may also disclose information where required by law or regulatory authorities. We do not sell your data, and a full list of recipients is available on request.
